Privacy Policy
Last updated: September 9, 2026. This policy explains what personal data SoftnetCorp collects through softnetcorp.net, our contact forms, our chat assistant and our social-media and marketing tools, how we use it, whom we share it with and what rights you have.
1. Who is responsible for your data
Softnet USA, Inc. and Softnet Corp, C.A. (together, “SoftnetCorp”, “we” or “us”) is the data controller for the personal data described in this policy. Our sister site nexelion.us (Nexelion, Inc.) follows this same policy.

2. What data we collect
We only collect the data needed to answer your request, deliver our services and improve this site:
Contact and business data you give us in forms or chat: name, company, country, company size, email, phone or WhatsApp number, and the description of the process or need you share with us.
Chat conversations with our website assistant, which are stored so a consultant can follow up on your request.
Technical and usage data collected automatically: IP address, browser and device type, pages visited, referring page, date and time, and approximate location derived from the IP address.
Cookies and similar technologies, described in section 6.
Data from professional networks when you interact with our LinkedIn, Facebook, Instagram or YouTube profiles (for example your public profile name and your comments or messages), subject to each platform's own policies.
We do not knowingly collect data from children under 18, and our services are addressed to businesses only.
3. How and why we use your data
To answer your inquiry, schedule a diagnosis meeting and prepare a proposal (performance of pre-contractual steps at your request).
To deliver, support and invoice the services you contract with us (performance of a contract).
To send you information about Odoo ERP, AI agents, process automation and digital transformation that may interest you. You can opt out at any time using the link in each email or by writing to us (legitimate interest or consent, depending on your country).
To operate, secure and improve this website and our chat assistant, including aggregate statistics (legitimate interest).
To comply with legal, tax and accounting obligations in the United States and Venezuela.
4. Automated tools and artificial intelligence
We use automation software (n8n) and AI language models to classify inquiries, draft replies, prepare marketing content and register leads in our CRM (Odoo). Every commercial decision, publication and message that leaves our company is reviewed and approved by a person before it is sent. We do not use your data to train AI models, and we do not make decisions with legal or similarly significant effects on you solely by automated means.
5. Whom we share your data with
We never sell your personal data. We share it only with providers that process it on our behalf under confidentiality and data-processing terms:
Hosting and infrastructure: Odoo S.A. (website and CRM), Amazon Web Services (automation server), GoDaddy (domains).
AI and automation: Anthropic and OpenAI (language and image models), HeyGen (video generation), n8n (workflow automation).
Communication and marketing: Google (Gmail, YouTube, Google Ads), Microsoft LinkedIn, Meta (Facebook and Instagram).
Professional advisers and authorities when required by law.
Some of these providers are located in the United States or the European Union. When data leaves your country we rely on the provider's contractual safeguards (such as standard contractual clauses) and on the security measures described below.
6. Cookies and analytics
This site uses strictly necessary cookies (session, language and security) that do not require consent, and, only if you accept them, analytics and advertising cookies from Google Analytics, Google Ads and Meta to measure visits and campaigns. You can withdraw your consent at any time from the cookie banner or your browser settings; blocking cookies does not prevent you from using the site.
7. Google and YouTube API Services
To publish our own videos and content, SoftnetCorp uses YouTube API Services and Google APIs through accounts that belong to us. Our internal tools access only our own YouTube channel data (video uploads, titles, descriptions and statistics) and never read, store or share data from other users' Google accounts. By using YouTube features on our channel you also agree to the YouTube Terms of Service. Google's handling of data is described in the Google Privacy Policy. You can revoke any access granted to our tools at any time from the Google security settings page.
8. How long we keep your data
Inquiries and chat conversations that do not become a project: up to 24 months from the last contact.
Customer and billing records: for the duration of the contract plus the periods required by tax and accounting law (generally 5 to 10 years).
Marketing lists: until you unsubscribe or after 24 months without interaction.
Technical logs: up to 12 months.
9. Security
We protect your data with encryption in transit (HTTPS), access controls with two-factor authentication, role-based permissions, regular backups and confidentiality agreements with our team and providers. No system is completely secure; if a breach affecting your data occurs, we will notify you and the competent authority as required by law.
10. Your rights
Depending on where you live (including the GDPR in Europe, the CCPA/CPRA in California and the data-protection laws of Latin American countries), you may have the right to access, correct, delete or receive a copy of your data, to object to or restrict its processing, to withdraw consent, to opt out of marketing, and to lodge a complaint with your data-protection authority. To exercise these rights write to the contact address in section 1; we will respond within 30 days and may ask you to verify your identity. We will never discriminate against you for exercising them.
11. Changes to this policy
We may update this policy when our services or the law change. The date at the top shows the latest version; significant changes will be announced on this site. This policy is governed by the laws of the State of Florida (USA) and, for data processed in Venezuela, by the Venezuelan Constitution and applicable data-protection rules.
